Cockwells is globally respected in the marine industry and at the forefront of designing and building luxury motor launches and Superyacht tenders. The Company cleverly integrates traditional boatbuilding skills with innovative engineering and modern techniques to build vessels of the highest quality. We’re looking for a full-time Office & Boatyard Administrator to be responsible for co-ordinating and managing bookings for our two busy boat-yards. This role will also include reception duties at our Mylor site, and a variety of office and facilities administration tasks. We would love to hear from you if you are well presented, have excellent customer service skills, an enthusiastic can-do attitude and are self-motivated . You must be organised and an excellent communicator, with previous administration experience. Main Duties & Responsibilities This wide and varied role is integral to the smooth running of our business operations. Together with being responsible for the administration of the 2 boatyards, this role will also include day-to-day running of a reception, together with various office and facilities administration duties. The main duties of the role are as follows:- Administration for the Boat Yards. This includes managing all enquiries, and working together with the Yard team to effectively manage seasonal bookings. In addition you will be responsible for issuing invoices, collecting payments and ensuring accounts are kept up to date/ paid in good time Manage enquiries and associated tasks for Mylor Harbour moorings Reception duties to include managing the front-desk and welcoming visitors, liaising with the Stores team to accept deliveries, aswell as answering and transferring calls Managing the Company Inbox, responding to e-mail enquiries aswell as managing various office Outlook calendars Maintain office security by following safety procedures and controlling access via the reception desk. This also includes managing the list of those with building access, and ensuring this is kept up to date/ deposits for key fobs are recorded accurately Order office and cleaning supplies and keep inventory of stock Arrange travel and accommodation and any other ad-hoc tasks for Management Administration of Company vehicles, to include bookings/payment of Tax, MOT, servicing and repairs and any other associated tasks General office tasks to include administration of photocopier/ printer contracts and leases and ordering/servicing of any other on-site office equipment General facilities site management tasks such as taking and submitting meter readings, arranging PAT testing, air conditioning servicing, and door security maintenance with external suppliers, and any other associated tasks Arranging any employee health & safety training with external providers, and ensuring the fire alarm is tested regularly (as per agreed schedule) Part of the out of hours boat yard emergency contact list (as part of a rota) Required skills: Excellent communicator both written and verbal, with the ability to build rapport Well organised and able to prioritise tasks Ability to multi-task Able to work with minimal direction Excellent timekeeping Proactive, flexible and adaptable, with a willingness to learn new skills Discretion and trustworthiness Have Outlook knowledge Desirable skills Microsoft Excel and other Microsoft Office applications Proven experience in diary management and organising travel arrangements Raising invoices, collecting payments through various methods Bank receipts reconciliation Experience in managing facilities Knowledge of Health and Safety guidelines Knowledge of and/or interest in boats, is advantageous Location The usual place of work for this role is the Mylor Creek Boatyard, Mylor Bridge, TR11 5NS, but you may also be required to work at our other company site in Falmouth in the future. Salary Starting salary is £25,000 per annum. Working hours Monday to Friday Day-time (40 Hours per week). We may also be able to accommodate 37.5 hours per week if required (salary to be pro-rata if less than 40 hours). Interviews Will be carried out as and when suitable applications have been received.
