Job title   Personal Assistant   The role Fugro are now recruiting a Personal Assistant to support our Marine Infrastructure Solutions (MIS) Team by providing high quality administrative support, information management and organisational support to ensure the enhancement of the team’s effectiveness and efficiency. Your time as Personal Assistant will be divided broadly into supporting the Service Line Director, managing communications for the MIS Business Line, and supporting the MIS team. This will include but not limited to; scheduling and supporting meetings, managing travel arrangements for the Service Line Director and other managers, researching and compiling reports and presentations, designing and producing monthly internal newsletters, recording meetings, providing minutes, and preparing letters and contracts for review and signature.   This job is for you if: You enjoy the challenge of managing a busy diary in fast paced and diverse business; You enjoy liaising with multiple stakeholders at all levels across an organisation; You can work to tight deadlines and ensure work is produced, on time and to the highest standard. Who you’ll be working with: Internally you will be working closely with the Service Line Director, Fugro Group contacts within the Europe & Africa region, Regional and Local Service and Business Line Directors and Managers. Logistics and other Administration and Personal Assistant staff. Externally you will liaise with the Travel company contacts, senior site visitors, statutory authorities and general contacts of your Line Manager and team, including some clients.   Here’s what a typical day would be like: Managing and maintaining the Service Line Director’s schedule, meeting schedule and agenda. Managing and coordinating reception staff. Answering and directing calls to appropriate parties, taking messages. Opening, sorting, and distributing correspondence and emails. Reading and analysing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner. Preparing reports, collecting and analysing information, and preparing presentations. Developing and utilising historical information; providing retrieval of information. Recording meeting discussions and providing minutes. Data analysis; filtering and sorting of data, using V-lookup and other functions. Preparing letters and contracts for signature and review. Maintaining correspondence with statutory authorities on behalf of executives. Supporting executives travel schedules and visitor’s logistics. Who we’re looking for:   Essential Minimum of GCSE grade A-C in English and Maths or equivalent. Previous experience in a similar role or role requiring a high-level administrative support. Excellent organisational skills; efficient and able to work to tight deadlines. Ability to negotiate positive outcomes. Good influencing skills and very personable. Ability to anticipate problems and ensure early intervention. Proficient in MS Word, Excel, PowerPoint and Outlook. Ability to work on own initiative, however still work as a strong team.
